Pacifico Coordinator Job Descriptions


Pacifico Coop is run through the participation of its members, and offers services aimed at improving the lives of college students in Davis.  Because most of the members of Pacifico are busy with school and with their jobs, the coop will offer compensation for five "Coordinator" positions.  These positions must be held by members of the coop, but those members will fill a special role in certain important programs.  These Coordinators will be supervised by the staff of Pacifico coop, and will work with the membership to make sure that their roles are helpful to the coop and its members.

Each coordinator will get a discount on their monthly rent, and will also fill all requirements for labor through their role as a coordinator.  The workload is expected to average 8-10 hours per week, although some positions will have periods of heavy activity followed by a lighter workload.

All positions:
Hired by a committee of board members, coop members, and staff.  Final decision by Executive Director, with supervision by Director of Property and Development.  Compensation for these positions will be applied to the monthly rent charges, and coordinators will also fulfill their weekly labor requirements through their coordinator positions. 

This position will be renewed quarterly, and tied to the Quarter Calender for UC Davis.  An evaluation process will be followed each quarter to examine the fulfillment of the duties of the position.  Members, officers, and staff of the coop will have the chance to offer feedback, and a final evaluation will be approved by the Executive Director.   

Coordinators will participate in biweekly teleconferences with the NASCO Director of Property and Development to track progress towards specific goals, as well as to coordinate efforts and share concerns.


Maintenance Coordinator

Compensation- $250 per month + full labor credit

The maintenance coordinator is responsible for the planning and coordination of maintenance projects at Pacifico.  In order to preserve and improve the conditions of Pacifico facilities, Pacifico will assign maintenance tasks to members for labor credit.  The maintenance coordinator is responsible for coordinating the efforts of the members tasked with maintenance within Pacifico’s annual maintenance budget.  The maintenance coordinator will work with staff to determine when a project is beyond the capabilities of the members assigned to the maintenance crew, and to communicate with and oversee professionals who are hired by Pacifico. 

While this coordination may mean performing some maintenance tasks directly, it will mainly involve coordinating the tasks of other members or Pacifico, as well as coordinating the services of professionals for projects beyond the capabilities of the members of Pacifico.

Additionally, the maintenance coordinator will:
  • Show an understanding of basic maintenance principles, including plumbing and simple carpentry.
  • Receive monthly reports on the maintenance budget.
  • Ensure that a rotating maintenance inspection is performed for one floor of one building each week, in order to have each floor inspected once every 12 weeks.  These inspections will be the primary way in which the upcoming maintenance needs of Pacifico will be discovered.
  • Solicit the membership of Pacifico for necessary and desirable maintenance projects.
  • Assign the members of the maintenance crew tasks suitable to their skills and schedule.
  • Make the other coordinators and officers aware of the progress of current maintenance projects, recently completed projects, and upcoming projects.
  • When possible, be present for periodic inspections by City of Davis staff.
  • Be responsible for the training of Pacifico members who are assigned maintenance tasks.


Meal Coordinator

Compensation- $250 per month + full labor credit

Plan menus for 112 members two times per day. Menus should be created using the "staple" foods purchased by the Purchasing/Inventory Coordinator.  The Meal Coordinator would be responsible for generating shopping lists any ingredients needed, to allow the P/I Coordinator to plan for the required materials.  Menu planning tools, such as software, will be provided upon request.  

Menus planned by the Meal Coordinator should be created in a way that is accessible to members with minimal experience in cooking and food service, with clear instructions.  Menus will meet the dietary requirements of the members of Pacifico as closely as is possible, as listed in the nutrition surveys completed by the members.  The nutrition survey will be created in collaboration with the staff and the Membership Coordinator and administered to all members at the beginning of the year, and will be given to all incoming members throughout the year.  The Meal Coordinator is encouraged to solicit the cooks and members at Pacifico for suggested menus, and for feedback on past menus.

Additionally, the Meal Coordinator will:
  • Show a basic understanding of cooking skills.
  • Plan two meals per day to serve 112.
  • Plan meals at least one week in advance.
  • Prepare a shopping list of required ingredients and provide this list to the Purchasing and Inventory Coordinator one week ahead.
  • Provide ways for the members of Pacifico to submit requests for future meals.
  • Provide ways for the members of Pacifico and cooks to give feedback on quality and quantity of meals.
  • Be responsible for basic health and sanitation training for all Pacifico members assigned meal related tasks.


Labor Coordinator

Compensation- $250 per month + full labor credit

Implement a labor system which assigns tasks to every member based on their schedules, skills, and interests.  The Labor Coordinator will work with the Membership Coordinator to update the survey used to determine the labor preferences  of each member.  The Labor Coordinator will directly assign tasks to members, although some tasks may be directly supervised by another officer.  For example, members assigned to maintenance labor will work directly with the Maintenance Coordinator, rather than the Labor Coordinator.

The Labor Coordinator will also maintain a list of projects which can be dealt with at any time as a way for members who owe labor credit to make up their debt.  The other officers and Coordinators at Pacifico, along with staff, will help create a list of these “make-up” projects.  If a member is determined to owe labor to Pacifico at a meeting of the members, the Labor Coordinator will assign “make-up” labor to that member.  If the member has not completed these tasks and reported this to the Labor Coordinator, the Labor Coordinator will report this debt to the Pacifico Office Manager in order for any appropriate fines to be charged.

Additionally, the Labor Coordinator will:
  • Work with Membership Coordinator to design and distribute a Labor Survey which will gather information on schedules, skills, and preferences of all members to find them the best labor assignment
  • Assign labor every Fall and Spring quarter to every member of Pacifico according to the results of the Labor Surveys within 10 days of the start of the quarter
  • Create an “interim” labor system for members to sign up for assignments, in order to provide services through labor during the interim between move-in and the start of the regular labor system
  • Attend or remain aware of the results of all Labor meetings
  •  Publish a list of Job Descriptions for each tasks within the labor system, as well as an up-to-date chart of what assignments are held by each member at Pacifico
  • Provide a method for members to request a reassignment of labor or a trade with another member
  • Maintain a list of all non-performed labor as reported by the membership, and provide tasks for members who need the chance to make-up labor they missed
  • Report non-performance of make-up labor to the Pacifico Office Manager so that fines can be charged to member accounts


Membership Coordinator

Compensation- $180 per month + full labor credit

The Membership Coordinator will work closely with the Pacifico Office Manager in order to make sure that information on the needs of the membership are communicated clearly between the Pacifico Office and the general membership.  This position will be especially important during the weeks before and after the fall move-in date, in order to ensure that new members have a smooth and informative introduction to membership in Pacifico.  During the rest of the year, this position will be responsible for assisting members in issues related to their satisfaction with their membership, as outlined below.

Additionally, the Membership Coordinator will:
  • Assist the Office Manager in distributing and designing marketing materials in order to recruit potential future members, and also conduct mandatory surveys on all incoming and returning members twice per year.  Surveys will be created in collaboration with staff and other coordinators, and will address room preferences, dietary needs, and labor preferences (including skills and schedule needs).
  • Conduct an orientation for all new members of Pacifico within one week of move-in day in the fall, and as needed through the rest of the year for new members.
  • All Surveys must be distributed to new members by the day of their move-in.
  • All members must receive a Pacifico Welcome Packet by the time of move-in containing a written record of all Pacifico policies, bylaws, job descriptions, and any other orienting materials.
  • The Membership Coordinator will attend or remain aware of the result of all Membership meetings
  • The Membership Coordinator will serve as an moderator in cases of conflict between members, and will work with the Office Manager to find alternate rooms in cases where this would resolve a conflict
  • The Membership Coordinator will help any member wishing to change their room assignment, in coordination with the Office Manager
  • Communicate with the elected Events Planner on any events planned for the membership of Pacifico.


Purchasing/Inventory Coordinator
Compensation- $250 per month + full labor credit

The Purchasing/Inventory (P/I) Coordinator will be responsible for placing orders with bulk purchasing companies and other food suppliers for pickup or delivery to Pacifico. In order to purchase adequate food supplies to provide 2 meals per day to every member of Pacifico while staying within budget, the P/I coordinator will use an inventory system to track . In order to meet this need, purchasing food from grocery stores should be for last minute items, with nearly all food purchases being made through food distributors and other services.  The P/I coordinator will ensure that the Pacifico Pantry is maintained in working order, and will purchase any equipment required for the storage of both dry/canned goods and food that requires refrigeration, in coordination with the Maintenance Coordinator.

In order to ensure safe and healthy food-service for Pacifico members, the P/I Coordinator will be responsible for:
  • Maintaining the stock of all items needed to provide food-service for the entire Pacifico membership, using a "staples" list for household supplies, food, and food-service equipment.
  • Ensuring two inventories per week for both food and supplies. 
  • Provide a sample of the last Staples List to the Pacifico membership for review each quarter
  • Remain within the budget for food purchases (currently at $80 per person per month)
  • Update inventory sheets to be used by those members performing twice-weekly inventories to reflect the current Staples List, and also to reflect the level at which additional purchases should be made for each item
  • Maintain contact with current vendors for all food-service items and place orders once per week or as needed to purchase all items indicated from the most recent inventory
